Disbursement Generalist 1

St. Edward's University of Austin, Texas invites applications for the position of Disbursement Generalist 1. The Disbursement Generalist will be responsible for processing University's Procurement Card, Accounts Payable processing, and payroll accounting and administrative duties in accordance with policies and procedures established by St. Edwards University.

Essential Responsibilities Include:

  • Data collection, data entry, and reporting of employee set up and payment information for various types of employees (staff, faculty, adjuncts, students, and international)
    • New hire and re-hire data collection, review, and entry into the ERP system
    • Maintain Smartsheet data
    • Process Employee Action Notices (employee HR/Payroll data changes)
    • Process separations
  • Participate in periodic system upgrade testing.
  • Proficiency with basic math calculations.
    • Vacation payouts
    • Calculation of over and underpayments
    • Special payment types
  • Familiarity with general accounting principles.
    • Use of Chart of Accounts
    • Basic reconciliations for validation
  • Maintain high-level confidentiality.
    • Access to sensitive information
    • Abide by laws and regulations for employee data retention
  • Use of office hardware and software.
    • Office equipment
    • Timekeeping software
    • ERP system
  • Outstanding organizational and time management skills.
  • Excellent communication abilities with aptitude in problem-solving.
    • Respond to department queries
    • Assist with external communication
    • Research and resolve data discrepancies
  • Assisting and training employees on departmental processes.
    • Timekeeping system
    • Ensure proper use of department policy, laws, and regulations
  • Assist with special projects as needed.

For consideration, a High school diploma or equivalent is required; Associates preferred. Two years of experience in accounts payable, Procurement Card, and/or Payroll. Thorough knowledge of applicable general ledger systems, procedures, and financial charts of accounts. Experience and general knowledge of international tax/payments are a plus. Must be able to prioritize and effectively manage a high volume of tasks. Ability to contribute to a work environment that encourages knowledge of, respect for, and development of skills to engage with those of other cultures or backgrounds in accordance with the Holy Cross. Must possess the ability to successfully pass a criminal background check.
