Data Services Manager (DSM)

Office of University Advancement

 

Scope

The Data Services Manager (also known as, Technology Manager IV) is responsible for the management, maintenance and integrity of the data in the advancement module of the university's enterprise system and division's third-party systems. The DSM manages all donation processing, receipting, acknowledgment and pledge management activity for the division. The position implements all project plans associated with advancement software development, replacement, conversion, and integration within the administrative information systems framework at the university. The DSM is responsible for the management of all human resource issues within the data services area and provides leadership to a proactive and integrated data services team.  This position reports to the Director of Advancement Services and includes supervisory responsibility for the Technical Support Coordinator and the Gift and Data Specialist.

Responsibilities

  • Manage the daily data operations in the advancement module of the university's enterprise system and division's third-party systems.
  • Manage the daily gift, pledge processing and receipting activities of the division, and ensure the proper acceptance, tracking, recording and reporting of gifts and pledges in accordance with university policy, state and federal laws and IRS regulations.
  • Develop policies and procedures for gift receipting, acknowledgement, gift notification, pledge reminders, and other system related functions and processes.
  • Create, edit, and distribute gift and pledge reports.
  • Identify and ensure the resolution of data quality and metadata issues, such as uniqueness, integrity, accuracy, consistency, and completeness in a cost-effective and timely fashion.
  • Perform data profiling on a regular basis to identify causes of poor data quality, implement solutions and communicate findings to employees, management, and stakeholders.
  • Develop and enforce methods and validation mechanisms for ensuring data quality and accuracy at the point of entry. Run regular data audits and generate data quality statistics. Communicate the results of these audits to the Director of Advancement Services.
  • Devise, coordinate, and conduct mass data-cleansing initiatives for the purpose of purging and eliminating corrupt or redundant information from university and division databases.
  • Develop user policies and training materials, set refresh cycles, and data quality statistical reporting for achieving and maintaining high data quality and metadata.
  • Be a resource for campus partners seeking knowledge and resolution of various data issues for advancement data.
  • Serve as a member of the University's Data Integrity Group.
  • Ensure that new systems and/or applications adhere to existing data management practices, policies, and procedures.
  • Supervise the Technical Support Coordinator and the Data and Gift Specialist positions.
  • Train advancement staff on database and third party applications and oversee general security.

Qualifications

  • Bachelor's degree in computer science or information systems management. Master's degree in Business or Computer/Management Information Systems preferred.
  • Minimum of three years of systems experience in fundraising. Experience with Banner Advancement preferred.
  • Minimum of three years of supervisory experience.
  • Technical knowledge of SQL Server and Oracle database.
  • Expertise in queries, global changes, imports, exports, and reports.
  • Must have proficiency using Microsoft Office (Excel, Word and PowerPoint).
  • Background in gift processing, analysis, and reporting.
  • Ability to perform work accurately and thoroughly; excellent attention to detail and organization skills.
  • Excellent communication skills coupled with a strong ability and desire to work collaboratively with colleagues across Advancement, Accounting, IT and other departments as required.
  • Successful completion of an employment and/or criminal history background check required of final selected candidate.
