Administrative Coordinator

Wild Basin Wilderness Preserve

School of Natural Sciences


Provide clerical and administrative support to Wild Basin Wilderness Preserve. This position reports to Wild Basin Wilderness Preserve Executive Director and Dean of Natural Sciences.




  • Act as liaison between the Executive Director and faculty, staff, students, parents, advisory boards, visitors, vendors, volunteers and other University and community contacts.
  • Maintain administrative records, procedure manuals, equipment and supplies.
  • Answer phone calls and return messages. Maintain confidential personnel files for the School.
  • Research and order budgeted office materials, equipment, and supplies for the facility.
  • Create documents, forms, reports, databases, spreadsheets, and informational materials.
  • Initiate routine correspondence, draft reports, take and prepare minutes for meetings.
  • Process mail, timesheets, purchase orders, and requests for information and materials.
  • Arrange meetings, workshops, seminars, special events, and travel.
  • Schedule and coordinate Wild Basin facilities and activities, staff and volunteers.
  • Occasionally supervise volunteers and student employees.
  • Assist in the Wild Basin Gift Shop when needed. Maintain inventory.
  • Track expenditures, maintain budget records, prepare and reconcile monthly budget reports.
  • Prepare and deliver deposits to St. Edward's University Business Office.


  • Assist in coordination and implementation of projects
  • Perform other duties as required.



  • High school or equivalent required. 3-5 years of office management and administrative assistance experience preferred. Data entry/retrieval, spreadsheet, and database experience required.
  • Excellent written/verbal communication, word processing, and organizational skills required.
  • Ability to interact confidentially and professionally with volunteers, students, parents, faculty, staff, and general public.
  • Ability to efficiently manage multiple tasks and priorities.
  • Ability to work collaboratively and cooperatively with diverse stakeholders.
  • Experience with Microsoft Word and Excel required. Ability to learn other programs, including financial software, as necessary.
  • A strong desire to learn about Natural History, Conservation, and Environmental Education is essential. Prior experience in an educational or natural resource profession is preferred.
  • Ability to comply with workplace guidelines and attendance requirements.
  • Successful completion of an employment and/or criminal history background check required.


Special Conditions

Workplace for this position is at Wild Basin Wilderness Preserve. Occasional travel to St. Edward's University required. Occasional evening and weekend duties required. Transportation is not provided.
