Executive Assistant to Vice President

Academic Affairs

$23.67 - $25.80/hour

 

Overview
St. Edward's University seeks to fill the position of Executive Assistant to the Vice President of Academic Affairs.  This position will support the mission of the university by performing complex administrative duties for the Vice President.

 

Responsibilities
Essential: Provide administrative support to the Vice President of Academic Affairs (VPAA).

Support activities for the VPAA include but are not limited to:

  • answering phones;
  • preparing routine correspondence;
  • researching and compiling information;
  • meeting preparation including agendas and minutes;
  • briefings and presentations;
  • coordinating travel
  • Maintain VPAA calendar of events and schedule.
  • Serve as department liaison to the President's Office for scheduling and coordinating appointments, meetings.
  • Interact with SEU community: 
    • Serve as contact for other offices on campus,
    • Schedule meetings and, when appropriate, serve on internal committees.
    • Maintain all aspects of the office and ACAD budgets to include budgetary information reporting, account management, and oversight of expenditures.
    • Planning and coordinating special events such as Commencement ceremonies.

Other:

  • Provide administrative support for numerous programs and activities:  prepare reports, proposals, routine correspondence, materials for committee meetings and minutes, when appropriate, support special projects.
  • assist Deans and Associate VPAA's with special projects as assigned
  • display initiative consistently by proactively responding to situations that arise in the area of responsibility
  • Other Duties as Assigned

 

Qualifications

  • College degree preferred or equivalent combination of education and experience.
  • At least five years progressively responsible administrative office management required.
  • Must be well organized, have excellent time management and organizational skills, and good judgment to set priorities and complete assigned tasks
  • Work independently with minimal supervision;
  • Must be able to deal with matters in a tactful and highly confidential manner
  • Advanced Microsoft Office skills.
  • Excellent interpersonal skills required, including a pleasant telephone manner
  • Must be capable of working collaboratively with other clerical staff and student employees
  • Must be willing to help other staff members during their peak periods of activity
  • Must be able to work occasional evenings and weekends for special events
